Patients already message businesses on WhatsApp. The question is whether the practice can keep up with it. Lynqpod puts one number in front of reception, with an assistant that handles the ordinary questions and hands over the rest.
What it covers
Reminders people can act on
A week before, two days before, and the morning of, each with Confirm, Change time and Cancel. A tap is recorded against the appointment, so reception can see who has confirmed without ringing anybody.
An assistant that can actually do things
Opening hours, prices, where to park, and the ones that matter: booking an appointment, moving one, cancelling one. It works from the practice's own answers and the real diary, not a generic model guessing. When it is unsure, or when a patient is upset, it hands over to a person and says so.
Booking without an email code
On WhatsApp the number itself is the proof of identity. A patient whose mobile matches their record is offered by first name, so the whole booking takes four taps.
Filling gaps
When a chair comes free, the patients on the waiting list who fit are asked on WhatsApp, and the first to answer takes it.
The rules WhatsApp itself imposes
- The 24-hour window. Free text can only be sent within 24 hours of the patient's last message. Outside it, a template approved by Meta is required, which is why reminders read the way they do.
- Templates are approved, not written on the day. Every piece of wording the practice sends out of the blue is submitted and approved first.
- One number, one practice. Messages are routed to the practice that owns the number.
What reception sees
An inbox, with the whole conversation including anything the assistant said, delivery and read ticks, and a panel showing who the patient is in the diary. Taking over is one click, and handing back lets the assistant answer the patient's last message straight away.
Consent, plainly. Reminders go to patients who have agreed to be contacted, and every message carries the practice's name. Nothing marketing-shaped is sent on this channel unless the practice switches that on separately and the patient opted in.
Common questions
Do we need a separate phone?
No. It uses the WhatsApp Business Platform, so the number belongs to the practice and lives in the software, not on a handset.
Can patients tell they are talking to software?
Yes, and they are told. The assistant answers under the practice's name with a clear label, and a person takes over the moment the conversation needs one.
What happens out of hours?
The assistant answers, books and moves appointments overnight. Anything it hands over is waiting for reception in the morning, marked as needing a person.
